Please read this privacy policy (the “Policy”) carefully. By visiting this website, www.twiceuponatime.ca / www.iletaitdeuxfois.ca (the “Website”), you acknowledge and agree to the practices described in the Policy, except where your specific consent is requested. The Policy, and the Disclaimer listed on the Website, which may be updated from time to time, describe our collection, use, retention, and disclosure of personal information collected through the Website, our services, or in the course of our activities.

Twice Upon a Time / Il était deux fois (“we”/”us”) is a Registered Charity No. 803095777 RR0001. We make the Website available to individuals and corporations who choose to use our services either through the Website or through other means. This Policy describes how we collect, use, retain, store, disclose, and distribute information about visitors and users of our Website and services. Terms used in this Policy have the same meaning as given to them in our Disclaimer.

For the purposes of applicable data protection law, we are the controller of any personal information collected from you on the Website or otherwise for conducting or developing our relationship with you. We are subject to the investigatory and enforcement powers applicable to the jurisdiction of Ottawa, Ontario, Canada.

Personal Information” means information about an identifiable individual, including full name, company name if applicable, address, email address, phone number, payment card information or other banking/financial information, and birth date, and information associated with that information. In the event that you choose not to provide certain requested Personal Information, in some instances you may not be able to use some of our services.

Two types of information may be collected through the Website and our services: Personal Information and non-personal information. The Policy does not extend to the collection, use, retention, or disclosure of non-personal information.

Collection of Information: We may collect Personal Information in respect of the Website, through another means of telecommunication, or anywhere else we provide services. We aim to collect, use, retain, and disclose only such information as is required to enable us to manage your subscription, provide our services, attend one of our events, maintain our client/visitor lists, respond to your inquiries or feedback, for identification and authentication purposes, and for service improvement. We will maintain the confidentiality of any Personal Information you provide to us, and we will use it only for the purposes for which we have collected it and reasonable purposes consistent with that purpose unless you agree that we may disclose it to other third parties. We do not sell contact lists.

  • Information we collect automatically: When you visit this website, our server automatically collects certain browser or device-generated information, including your:
    • Domain;
    • IP address;
    • date, time, and duration of your visit;
    • browser type;
    • operating system; and
    • page visits.

We do not use this automatically collected information to try to identify you; however, we may associate it with the information you provide voluntarily.

  • Information you provide: In using the Website or otherwise using our services, you may voluntarily provide Personal Information to us in the following ways:
    • by filling in forms (for example, the “Contact Us” form) on the Website;
    • by downloading documentation and/or other information from the Website;
    • by subscribing to newsletters or other communications;
    • by contacting or corresponding with us by phone, video call, email, social media,

    • by applying for a volunteer or contract position; or
    • anywhere we provide services.

Typically, the Personal Information you give us may include your full name, company name if applicable, address, email address, phone number, payment card information or other banking/financial information, and any personal details required to access some of our services. Failure to provide any information may result in our inability to provide the requested services or consider your application for a volunteer or contract position.

  • Information we obtain from third parties: We may also obtain information about you from third parties, including social media, data augmentation services, and/or police record checks.

Use of Information: We collect information for the following uses/purposes:

  • Some of our services: In order to use some of our services, for example, provide a donation or apply for a volunteer or contract position, you must provide certain Personal Information to us such as your full name, company name if applicable, address, email address, phone number, and/or payment card information or other banking/financial information. This allows us to know who you are, and provide both support and monitor security. We do not, as a condition of providing services, require you to consent to the collection, use, retention, or disclosure of information beyond that required to obtain the specific requested services or respond to inquiries or feedback.

  • Transactional Notifications: We may provide notifications for certain activities through the Website such as service updates. Despite your indicated email preferences, we may send you notices of any updates to the Policy or Disclaimer.

  • Statistics: We may collect statistics about use of our services through the Website. This information will be kept confidential, however, aggregate statistics that do not personally identify an individual (i.e., non-personal information) may be retained by us, and such aggregate statistics may be made available to others for purposes related to our services.

  • Cookies: Cookies are used by us to track content usage and traffic on the Website. A cookie is a feature of your web browser that consists of a text file that is placed on your hard disk by a web server. The Website uses cookies to help it compile aggregate statistics about usage of the Website, such as how many users visit the Website, how long users spend viewing the Website, and what pages are viewed most often. Your IP address is reported by your web browser whenever you visit a page on the Website. This information may be recorded for security and fraud prevention purposes.

Security: The security of your Personal Information is important to us. We use commercially reasonable efforts to store and maintain your Personal Information in a secure environment. We take technical, contractual, administrative, and physical security steps designed to protect your Personal Information. We have implemented procedures designed to limit the dissemination of your Personal Information to only such designated volunteers as are reasonably necessary to carry out the stated purposes we have communicated to you.

You are also responsible for helping to protect the security of your Personal Information. For instance, never give out your donation account information or password for our services to third parties.

Retention: We will retain your Personal Information for as long as it remains necessary for the identified purpose or as required by law, which may extend beyond the termination of our relationship with you. We may retain certain information as necessary to prevent fraud or future abuse, or for legitimate purposes, such as analysis of aggregated, non-personal information data, account recovery, or if required by law. All retained Personal Information will remain subject to the terms of the Policy. If you request that your Personal Information be removed from our databases, we will make reasonable efforts to do so, however, it may not be possible to completely delete all your Personal Information due to legal constraints.

Access and accuracy: You may request access to the Personal Information we hold about you in order to verify its accuracy and to have a general account of our uses of that information. Upon receipt of your written request, we will provide you with a copy of your Personal Information although in certain limited circumstances, we may not be able to make all relevant information available to you such as where that information also pertains to another user. In such circumstances we will provide reasons for the denial to you upon request. We will endeavor to deal with all requests for access and modifications in a timely manner.

We will make every reasonable effort to keep your Personal Information accurate and up-to-date. As appropriate, this amended Personal Information will be transmitted to those parties to which we are permitted to disclose your information. Having accurate Personal Information about you enables us to give you the best possible services.

Amendment of the Policy: We reserve the right to change the Policy at any time without notice. If we decide to change the Policy in the future, we will post an appropriate notice on the Website. Any non-material change (such as clarifications) to the Policy will become effective on the date the change is posted and any material changes will become effective 30 days from their posting on the Website. Unless stated otherwise, our current Policy applies to all Personal Information that we have about you. The date on which the latest update was made is indicated at the top of this document. We recommend that you print a copy of the Policy for your reference and revisit the Policy from time to time to ensure you are aware of any changes.
